The City of O’Fallon, Missouri, manages a mixed municipal fleet of more than 400 vehicles and pieces of equipment, including administrative vehicles, Class 1 to 6 trucks and excavating equipment.

Prior to adopting a new system, the city faced challenges related to fleet accountability, fragmented data sources and limited visibility into vehicle usage, costs, maintenance activity, accident tracking and recall or memo letter management.

The city implemented Collective Data’s fleet management platform, collectiveFleet, to centralize fleet information and improve operational efficiency. The system combined multiple functions into a single interface, including shop operations management, budgeting tools, vehicle replacement forecasting, automated task assignment and integration with PetroVend fueling data.

Following implementation, fleet data was consolidated into one system, allowing for more consistent reporting and improved access to vehicle condition and cost information. The platform also enabled automated alerts for maintenance tasks.

The system’s reporting functions provided additional insight into fleet performance and helped support more informed maintenance planning and resource allocation. According to the city’s fleet management, the system has contributed to improved productivity and cost management and provided clearer visibility into long-term vehicle costs and condition.
